Privacy Policy

Base Ledger IP Capital, LLC d/b/a BidSitrep (“BidSitrep,” “we,” or “us”) is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and your rights regarding your data. By creating a BidSitrep account, you agree to the collection and use of information as described in this policy.
1. Information We Collect
1.1 Account Information
When you create an account, we collect your email address and a hashed password. Passwords are never stored in plain text.
1.2 Business Profile Information
During onboarding, we collect information about your business: company name, trade(s), state, employee count, annual revenue range, veteran certification type (SDVOSB or VOSB), and SAM.gov registration status and expiration date. This information is used to match federal contract opportunities to your business profile.
You may also choose to tell us what your business already has: security clearance level, bonding, insurance, licenses, and key staff. These answers are optional, you can change or remove them at any time, and they are not used to match opportunities to you. They are used only to help you judge whether a particular contract is worth your time. If you name individual staff, include only what you would put on a bid.
1.3 Subscription and Billing Information
We collect your subscription status and billing period dates. We do not store payment card numbers or bank account information. Payment processing is handled by Stripe, Inc. — see Section 4 for details.
1.4 Usage Information
We store the status you assign to matched opportunities (Interested, Applied, Won, Lost, Not for me). We do not track page views, session activity, or browsing behavior beyond what is necessary to provide the service.
1.5 Email Communications
We send daily digest emails when new matched opportunities are found, and reminder emails when your SAM.gov contractor registration is approaching expiration. We do not send marketing emails or sell your email address to third parties.
1.6 Free Tools (No Account Required)
We offer free tools on our website, such as the Capability Statement Generator, that do not require creating a BidSitrep account. If you use one of these tools, we collect the email address and business information you provide (business name, description, competencies, past performance, and similar details) solely to generate the requested document. We also collect your IP address, used only to prevent abuse of the free tool (for example, limiting how many times it can be used from one connection in a day). This information is stored separately from BidSitrep subscriber accounts and is not automatically linked to any account you may separately create.
2. How We Use Your Information
We use the information we collect solely to provide the BidSitrep service:
- Opportunity matching — your trade(s), state, and certification type are used to identify relevant federal contract set-asides from SAM.gov.
- Email delivery — your email address is used to send daily opportunity digests and expiration reminders.
- Subscription management — your billing information is used to manage your subscription and communicate about payment status.
- Service improvement — we may use aggregate, anonymized data (not linked to any individual) to improve matching accuracy and service quality.
- Free tool delivery — if you use a free tool such as the Capability Statement Generator, we may use your email address to follow up about the tool or let you know about BidSitrep.
We do not use your information for advertising, profiling beyond the above, or any purpose unrelated to providing BidSitrep.
3. Information We Do Not Collect
BidSitrep does not collect:
- Payment card numbers, bank account numbers, or other financial account information (handled by Stripe)
- Social Security numbers or government identification numbers
- Information about your actual contract bids, proposals, or bid outcomes beyond the status you manually set
- Information from your device beyond standard browser session cookies required for authentication
- Personal details about your staff beyond what you choose to enter — we never ask for their Social Security numbers, dates of birth, home addresses, or clearance record numbers, and you should not enter them
4. Third-Party Service Providers
We share your information with the following service providers solely to operate BidSitrep. Each provider processes your data only as directed by us and in accordance with their own privacy and security practices.

We do not sell, rent, or trade your personal information to any third party.
5. SAM.gov Data
BidSitrep retrieves federal contract opportunity data from SAM.gov, a public database operated by the U.S. General Services Administration. We do not send your personal information to SAM.gov. SAM.gov data is publicly available and not private.
7. Data Retention
We retain your account and business profile information for as long as your account is active. If you cancel your subscription and request account deletion, we will delete your personal data within 30 days, except where retention is required by applicable law or to resolve outstanding disputes.

8. Data Security
We use industry-standard security practices to protect your data, including encrypted connections (HTTPS), hashed password storage via Supabase Auth, and role-based access controls. No method of transmission over the internet is 100% secure. If you believe your account has been compromised, contact us immediately at brooks@baseledgerip.com.
9. Children's Privacy
BidSitrep is not directed to individuals under 18 years of age. We do not knowingly collect personal information from anyone under 18. If you believe we have inadvertently collected such information, contact us and we will delete it promptly.
10. Your Rights
You have the right to:
- Access — the personal information we hold about you
- Correct — inaccurate information in your business profile (editable from your Account page)
- Delete — your account and associated personal data (contact us at brooks@baseledgerip.com)
- Opt out — of email communications (contact us — note this will also stop opportunity digest emails)

11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email at least 30 days before the change takes effect. Continued use of BidSitrep after the notice period constitutes acceptance of the updated policy.
12. Governing Law
This Privacy Policy is governed by the laws of the State of Delaware, without regard to conflict of law principles.
